Allow parents to request sessions online
If parent online booking is turned on, parents are able to request sessions for their children through the parent portal.
Turning on parent booking
- In the top right, click on
> System Settings. - Click on Session Types.
- In the top right, click on Parent Online Booking.
- In the pop-up, check the box under Instant Bookings, or Approval Mode, or both.
- Instant Bookings: Parents can book sessions without approval, but they’re marked as Extra sessions, meaning they won’t be government funded.
- Select which Rooms the parent will be allowed to book sessions in.
- Select which Sessions the parent is allowed to book.
- Under Advance Booking Notice, select whether parents have to book sessions Days or Weeks in advance.
- Under Notice Required, type in the notice period for booking a session in days or weeks.
- Under Advance Booking Period, type in how many days/weeks following the notice period sessions can be booked until.
- Approval Mode: Parents can only request sessions, which are then approved by a manager.
- Select which Rooms the parent will be allowed to book sessions in.
- Select which Sessions the parent is allowed to book.
- Check Mark requested sessions as extra sessions by default if you want the sessions parents request to be marked as Extra by default, meaning they won’t be government funded.
- Check Allow booking of child's preferred sessions only (must be included in above sessions) if you only want parents to be able to book the Preferred Session from the child’s profile.
- Select which Products and Services the parent will be allowed to book alongside sessions.
- Under Advance Booking Settings In, select whether settings for advance bookings will be counted in days or weeks.
- Under First Booking Allowed, type in how many days in advance parents can book sessions.
- Under Booking Allowed Till, type in how many days/weeks following the notice period sessions can be booked until.
- Click Save.
The Instant Bookings and Approval Mode options apply to specific rooms, meaning you cannot select the same rooms for both options.
Approving/rejecting sessions requested by parents
If you’ve turned on Approval Mode for Parent Online Booking, an extra icon will appear on the Children screen that allows you to reject and approve sessions requested by parents.
- Go to the
Children page. - In the top right, click on the
icon to see Sessions Requested by Parents. - You’ll see a list of requested sessions. Click on a child’s name to be taken to their schedule.
- Click Accept or Decline next to a requested session.
