When your Early Years setting uses one of our eyworks products for the first time, we create a unique URL for you that practitioners and managers can use to log in to the system. Any data you input into the system is tied to this URL. The eylog practitioner app and the parent app are also linked to your system through your unique URL.
Because of this, changing your setting’s URL can be quite an involved process. It requires us to migrate all the data from your old URL to your new one.
How do I change the URL?
Contact the eyworks support team if you’d like to change the URL you use to access the system.
There is a charge of £250 + VAT for this service. This covers:
- Setting up the new URL
- Out-of-hours migration of your data
- Pre-migration checklist
- Post-migration support for staff
- Post-migration documents to share with parents
What should I do to prepare for data migration?
Ensure your upload queues are clear before your data migration is due to take place, because they won’t be carried over to the new URL. You will need to check the upload queue on every tablet. Any data that is already uploaded on the system, including drafts, will migrate successfully.
What happens during a data migration?
During the data migration, all the data stored on the old system is moved to the new one. When successful, there should be no notable differences between the two systems other than the URL.
We always carry out the data migration out-of-hours to minimise disruption, either during weekday evenings or over the weekend. Staff and parents won’t have access to the system during this time.
What should staff do following data migration?
Once the data migration has been completed, the eylog practitioner app will need to be reset on every tablet device that has it installed to link it to the new URL. We will provide you with support during this process to ensure it’s carried out smoothly.
If you’re using an Android device:
- Go to Settings on the tablet.
- Go to the App Manager.
- Select the eylog practitioner app.
- Tap Force Stop at the top.
- Go to Storage.
- Tap Clear data.
- On the web, login to your eylog system using the new URL and go to System Settings > System to bring up a QR code.
- On the tablet, reopen the eylog practitioner app.
- The app should automatically open your device’s camera. Use this to scan the QR code.
- Alternatively, on the web version, click Manual Install - Show Serial ID and Password. On the app, tap Enter serial ID and password and type in the Serial ID and Password exactly as they appear.
- Tap Install.
If you’re using an iOS device:
- Delete the eylog practitioner app.
- Reinstall the app from the app store.
- On the web, login to your eylog system using the new URL and go to System Settings > System to bring up a QR code.
- On the tablet, reopen the eylog practitioner app.
- The app should automatically open your device’s camera. Use this to scan the QR code.
- Alternatively, on the web version, click Manual Install - Show Serial ID and Password. On the app, tap Enter serial ID and password and type in the Serial ID and Password exactly as they appear.
- Tap Install.
What should parents do following data migration?
Parents simply have to log out of the parent app or parent portal, then log back in again to access the new system. You should communicate the need for this with them in advance. A letter template is attached to the bottom of this article, which you can use as a guide on how to inform parents about the update.
