Creating custom reports

eyworks gives you the ability to create Custom Reports for eyenquiries and eymanage. Because the reports are customisable, they are quite simple compared to Standard Reports, and usually take the form of a dataset that provides you with a summary of information stored on the system. 

Select Category
  1. In the sidebar, click on Reports > Custom.
  2. Click the  icon in the top right to create a new custom report. 
  3. Click on the Select Category field to choose whether you want this report to be for Children, Staff, or Enquiries
  4. Once you've chosen a category, click on the Select Sub Category field to choose which kind of data you'd like to use in the report.
  5. Select what data you'd like to include in the report by checking the boxes next to the details that appear. 
  6. Click on the Select Branch/Nursery field to select which nursery branches you want to draw data from this report. If you click on Filter By Tags above the Select Branch/Nursery field and choose a tag from the drop-down menu, it will automatically select nursery branches with that tag.
  7. Underneath, there is a field called Filter By Tags (not the same as the Filter By Tags above the Select Branch/Nursery field) that will let you narrow down which children/staff/enquiries you want reports for, as long as these entities are tagged. Leaving the Filter by Tags field blank will automatically select all entities in the category and nursery branch.
  8. Click Next to move on to the next section.
Filters & Options
On this page, you have even more options to filter the data that will appear in the report. Every piece of data that you selected on the previous page will appear in the leftmost column. Next to them are the ways that they can be filtered.

The Select Filter field determines what the relationship between the data and the Field Value must be for that data to appear in the report.

For example: [Full Name LIKE John Smith] means that a child’s name must be an exact match for “John Smith” for that child to appear in the report. 

The Select Condition field affects how the different pieces of data relate to each other. Selecting AND means that a dataset must match every filter for it to
appear in the report. Selecting OR means that a dataset can match either filter for it to appear in the report.

For example: [Month EQUAL TO January AND Year EQUAL TO 2023] means that the report will only show data from January 2023. Whereas if the condition were OR, the report would show data from every January of every year, and in addition show data from every month in 2023.

When you’re ready to move on, click Next.

The Select Filter field will show different options depending on the Category and Sub Category.

Result
On this page is the report itself, shown in a table format. Each child, staff member, or enquiry represents one row of data.

Use the search bar in the top right to find a particular dataset. If there are multiple pages, you can move between them using Previous and Next under the report. At the bottom of the page, click on Download PDF or Download CSV to download this data to your device.

Save
If you think this custom report is something you would like to use in the future, you can save it to the system.
  1. Give the custom report a Name and Description.
  2. Click on the Save for Roles/Users field to select which kinds of users can use this report.
  3. Click on Save for Branch/Nursery to select which nursery branches can use this report.
  4. Click Save.
