Most of the fields in the employee profile are just used to record information. However, there are several fields that have system functionality. Let’s go over them.
Profile
First Name/Last Name: These are mandatory fields. You cannot create a new profile without filling them in.
Address/Postcode: The Address and Postcode is used to pinpoint the employee’s location in the Map View of the Employees page.
Primary Email: All communications are sent to this email by default.
Create eyemployee Login: Checking this will create an account for the employee on the system, which they can use to view their schedule and book absences.
Start Date: The date the employee started at the company. You must select the start date for this employee before holiday and sickness entitlement can be calculated.
Leave Date: The date an employee will leave the company. This can be used to calculate the remaining holiday and sickness entitlement for a leaving employee.
Job Title/Position: This affects Holiday Pay Rate, and which Qualifications and Training Courses you can add to the employee profile.
Additional Role: Allows you to indicate this employee's additional responsibilities. Additional roles can be linked to Training Courses.
Line Manager: Assign this employee's line manager. A line manager can be given access to this employee's sensitive information in Global Settings > HR > Employee > Sensitive Information.
Preferred Activity: The default Activity when scheduling sessions for this employee.
Room: The default Room when scheduling sessions for this employee.
Key Children:
Select this employee’s key children from the drop-down menu. On eylog, depending on Nursery Details, employees may only be able to access their key children.
DBS Number: Clicking on this field will allow you to add a DBS number as a document.
Term Time Only: Check this if the employee only has sessions during term times. Sessions that don’t take place during term times are removed.
Active: When this box is checked, it signals that the staff member is a current employee. Unchecking this box makes them inactive on the system, and generally indicates they have left the company.
Create eylog Profile: Checking this box will create a profile for the employee on eylog.
Payroll/Bank Details
Hourly Rate Basic: The employee's basic hourly rate which is used to calculate wages in the Employee Wages Report.
Salaried: Check this option if the employee is paid a fixed salary.
Editing eylog permissions
If this employee is also a practitioner on eylog, you can use the table at the bottom of the page to edit their permissions for what they can publish using the various features of eylog. The two options you can check for each feature are Publisher and Reviewer, with the exception of Daily Diaries which only require publishers.
Publisher: Can publish observations/forms/reports/diaries without needing them reviewed
Reviewer: Can review and publish other practitioners' observations/forms/reports/diaries. Selecting Reviewer will automatically check Publisher for the chosen feature.
Some fields not included in this list may still be included in filters, or may appear when creating reports.
