Scheduling sessions

Scheduling sessions

You can schedule sessions for children through the Child Scheduling section of their profiles.
  1. Go to the  Children page.
  2. Click on the name of the child to be taken to their profile.
  3. Click on Child Scheduling in the sidebar.
  4. Here, you can see the child’s schedule for the week. You can switch between month, week, and day views by clicking on the corresponding buttons in the top right (you cannot book sessions from the month or day views). Move between dates by clicking on the arrows in the top left.
  5. Click on a time under one of the days to book a session for that day.
  6. Fill out the details of the session in the pop-up window:
    1. Room: Select which room the child is assigned to for this session. By default, this will be the child’s Current Room from their Profile screen.
    2. Session Type: Select the Session Type. This determines the session’s start time and finish time, rate type, overall rate, and other settings.
    3. Start Date: What date the sessions in this series start.
    4. Finish Date: What date the sessions in this series end.
    5. Start Time/Finish Time: What times this session starts and ends each day. This can be edited if you’ve checked Allow booking b/w start and finish time.
    6. Repeat: How often this session repeats: No Repeat, Weekly, or Custom. Custom lets you repeat a session up to every 6 weeks.
    7. Repeat On: Which days this session will repeat.
    8. Extra Sessions/Exclude from funding: This option appears when the right option is selected in Funding Settings. Checking it means the session won’t be funded.
    9. Additional Sessions:  If Extra Sessions haven't been turned on, you have the option to mark sessions as Additional, meaning they've been booked outside of regular scheduling. Unlike Extra sessions, Additional Sessions are still included in funding.
    10. Select Products: Check the box next to the products you want to include for this session, and for which days. Charges will be added to the invoice.
  7. Click Save.
