Scheduling staff absences through the profile

  1. Go to the  Staff page.
  2. Click on the name of the staff member to be taken to their profile.
  3. Click on the Staff Scheduling tab on the left. 
  4. Click on the all-day area under the day to mark absent. 
  5. Fill out the details of the absence in the pop-up window:
    1. Type of Absence: Choose what type of absence this is.
    2. Date of Request: The date the absence was created on the system. This cannot be changed.
    3. Start Date: The date the absence begins.
    4. Finish Date: The date the absence ends.
    5. Reason: Select a reason for the absence. Your options are linked to the type of absence.
    6. Notes/Description: Any additional notes you want to add about the absence. 
    7. Holiday Entitlement: This staff member’s overall holiday entitlement in hours/year.
    8. Sickness Entitlement: This staff member’s overall sickness entitlement in hours/year.
    9. Holiday Used: The hours of holiday entitlement the staff member has already used.
    10. Holiday Balance: The hours of holiday entitlement remaining after the Holiday Used is deducted.
    11. Sickness Used: The hours of sickness entitlement the staff member has already used.
    12. Sickness Balance: The hours of sickness entitlement remaining after Sickness Used is deducted.
    13. TOIL Entitlement as of End Date: This staff member's TOIL entitlement in hours/year by the end date of the requested absence. Only appears if TOIL is enabled on the system, and has been selected as the absence reason.
    14. TOIL Used: The hours of TOIL entitlement the staff member has already used. Only appears if TOIL is enabled on the system, and has been selected as the absence reason.
    15. TOIL Balance: The hours of TOIL entitlement remaining after TOIL Used is deducted. Only appears if TOIL is enabled on the system, and has been selected as the absence reason.
    16. Hours used in current absence: The hours of entitlement used for this absence.
    17. Paid: Check this option if this is a paid absence
    18. Deduct from Entitlement?: Displays whether this absence will deduct from holiday entitlement, sickness entitlement, TOIL entitlement, or none.
    19. Remove schedule on these dates?: Select whether or not pre-scheduled sessions for this staff member will be deleted upon the creation of this absence.
    20. Accept/Decline Notes: Any notes you’d like to add explaining why an absence has been accepted or declined.
  6. Click Save.
