Using headcount in eylog

This feature is only available to customers with both eylog and eymanage subscriptions.

Customers with active subscriptions for both eylog and eymanage will have access to the headcount feature. This allows employees to log the presence of children and other employees in a room throughout the day by using the eylog practitioner app. Managers may also choose to enable reminders, which are sent out whenever a headcount is due.

  1. Log in to the eylog practitioner app.
  2. Tap the  Headcount icon at the top.
  3. You'll be taken to a screen with two tabs: one that shows a list of children and one that shows a list of employees. Under Room, in the top left corner, select which room this headcount is for. By default, this room will match the one assigned to a practitioner on their profile.
  4. You will only be able to do a headcount for children and employees who have been signed in, although a list of children and employees who are not signed in is also displayed on the page for you to reference.
    1. For those who are present in the room, check the Present box and change the status if required.
    2. For those that are not present, leave the box unchecked and select a status. You cannot leave this status blank.
  5. For children and employees who are not in the list but whom you still want to includefor example, if they are in the middle of a room transitionclick +Add Child/Employee in the top right, type in their name, and select them from the list. 
  6. Once you've marked the statuses of all children and employees, the ratio will be updated at the bottom of the screen. If the room is not in ratio, a notification will be sent to the manager. 
  7. Click Save & Complete
  8. You will be given the option to add a note before you save the headcount. For example, this would be where you can add an explanation for why a room is not in ratio.
  9. Click Save Headcount.
  10. Past headcounts cannot be viewed from within the app, but a manager will be able to view a record of headcounts from the eymanage system and acknowledge that they have been seen.
