Activating/deactivating a staff profile

When a staff member leaves the nursery, you need to be able to reflect this on the system. As a customer, you aren't able to delete staff profiles entirely from the system on your own, but you are able to deactivate them. By doing this, the staff member's profile will be hidden from the Staff page and they will disappear from all other parts of the system unless they are made active again.

Making a staff member inactive

  1. Click on  Staff in the sidebar.
  2. Click on a staff member’s name to view their profile.
  3. On the Profile tab, uncheck the box next to Active.
  4. Choose a Leave Date and Leave Reason in the pop-up window.
  5. Click Save.

Customising leave reasons

When you deactivate a staff profile, you have to choose the reason why they left from a drop-down menu. If none of these options match the circumstances, you're able to customise your own leave reasons in settings.
  1. In the top right, click on  > Global Settings.
  2. Click on HR in the sidebar.
  3. Go to Staff > Leave Reasons.
  4. Click the  icon in the top right to create a new leave reason.
  5. Type the new reason into the Name field.
  6. Click Save.
  7. Click the  icon next to a reason to edit it, and the  icon to delete it.

Viewing inactive staff members

Even when a staff member's profile is made inactive, the system still keeps a record of it for you to refer back to if necessary.
  1. Click on  Staff in the sidebar.
  2. Check the box next to Show Only Inactive in the top left.
  3. Click on a staff member’s name to view their profile.

Reactivating a staff profile

If you want to be able to manage an inactive staff member on the system, you'll need to make them active again.
  1. Go to the inactive staff member's profile.
  2. On the Profile tab, check the box next to Active.
  3. In the pop-up window, click OK.
