Filling out the child profile

Some of the information on the child profile is there for your reference, while others have important functionality on the system. Let’s go over what these are, and what they do.

Profile

First Name/Last Name: The child’s first and last name. This is a required field.

Legal Gender: The gender assigned to the child on their birth certificate. This is a required field.

Date of Birth: The child’s date of birth. This is a required field, and is also used to calculate the child’s age.

Enrolment Date: The date the child was enrolled in the nursery.

Start Date: The date the child started going to the nursery.

Leave Date: The date the child is set to leave the nursery. This is filled in automatically according to the age children leave your nursery.

Current Room: What room the child is currently in. When scheduling a session, the child will be added to this room by default.

Key Person: Choose the child’s key person from the list of staff members. On eylog, depending on your Nursery Details, only the key person may be able to access this child.

Address/Postcode: The child's address and postcode. This can be used to pinpoint the child’s location in the Map View of the Children page.

Default Discount (%): The percentage discount this child receives by default on all sessions. You can see how it’s applied when creating an invoice.

Link to Staff (Staff Parent/Carer): If this child's parent is a staff member, add them here. 

Preferred Session: This child’s preferred session. Can be filled in by a parent on the child profile form. If parents are able to request sessions, you have the option to make it so they are only able to request the preferred session type.

Leave Reason: The reason the child is leaving a nursery. This field can be selected when the child is made inactive, or before. 

Cohort Groups: Check the box next to all that apply. Primarily used as reference, but can be filtered on the Children page.

Term Time Only: Checking this option means that any sessions scheduled for this child during term holidays are automatically removed.

Funded Only: Checking this means this child is excluded from minimum booking fees, if minimum booking fees are active.

Active: When this box is checked, it signals that the child is currently attending the nursery. Unchecking this box makes them inactive on the system, and indicates they have left.

Parental Details 

Parental Responsibility: Check this option if the parent has parental responsibility for the child. You can only send Child Profile Forms to parents marked with Parental Responsibility.

Emergency Contact: Check this option if this parent is the child’s emergency contact. 

Bill Payer: Check this option if the parent is a bill payer. You can only send invoices to parents marked as Bill Payer.

Authorised to Collect: Check this option if this parent is authorised to collect the child from the nursery.

Create Login: Checking this option will send an email to the parent with a link to activate their account on the parent portal. 

eylog Access: This option appears if you have Create Login checked. Checking it allows parents to access observations, reports, daily diaries, registers, accident sheets, and medicine forms for eylog through the parent portal.

First Name: The parent’s first name.

Primary Email: The parents email address. All communications for this parent are sent to this email by default.

General Details

Payment Terms: Select the terms that apply to this child. You can exclude children with certain payment terms from debtors' letters.

Tax-Free Childcare Code: Enter this child's tax-free childcare code. This code is used in some reports, and you can search for this child using this code when creating payments.

Voucher Code: Enter this child's voucher code. This code is used in some reports, and you can search for this child using this code when creating payments.
