Report Templates Overview

The Report Templates Overview allows you to get a sense of what reports have been generated in your system: what type they are, what their current status is, and which children have or haven't had reports generated for them. While the Reports List simply provides a list of all the reports in your system, the overview has more options for filtering your results, and manages to put more information on one screen for a comprehensive, easy-to-grasp summary of your eylog summative and transition reports. 

The Report Templates Overview can only be viewed through the eylog web system by clicking on  Reports > Report Templates Overview.

Filters

At the top of the screen, you'll find a set of options that allow you to filter what results appear on the overview screen. After setting your filters, click the View button to apply these filters.

Nursery: Choose one or more nurseries whose reports you'd like to view.

Groups/Rooms: Choose the groups/rooms belonging to the children whose reports you'd like to view. If you select multiple nurseries, click on the arrow next to the name of a nursery to expand it, then select its group/room.

Report Templates: Select which report templates you'd like to view. If you selected multiple nurseries, click on the arrow next to the name of a nursery to expand it, then select a report template.

Status: Select which report statuses you'd like to view, including Draft, Pending Review, Pending Parent Review, Completed, and Not Generated.

Filter By: Select an additional filter option, Child's Age or Report Date Range.
  1. Child's Age: Indicate the age criteria for the children whose reports you'd like to view. Using the Child's Age filter will let you use additional filters for age condition that allow you to choose an operator and then specify the age you want to view in months. For example, from the first field in the age condition filter you might select Less than or equal to (<=), and in the second field you could input 48, meaning the screen will display the reports for children aged 48 months or under. Click Apply to use the chosen age parameters. 
  2. Report Date Range: Indicate the range of dates for reports appearing on this screen, according to when they were generated. Click on the Date Range field to bring up a calendar, and select the start and end date.

Statistics

Once you've applied the filters, you'll see a row of statistics for the relevant reports. The Total Count refers to the total number of records on this screen, whether or not the children have reports. Not Generated refers to the number of children who have not had a report generated for them under the filters you've set. Draft refers to the number of reports in draft. Pending Review refers to the number of reports that are waiting to be approved by a manager. Pending Parent Review refers to the number of reports that have been sent to parents and are waiting to be completed. Reports Completed refers to reports that have been viewed by parents and completed.

By clicking on a statistic, you'll bring up a table showing you records that inform that statistic. Use the tabs at the top to switch between the different data summaries. You can also open up this table by clicking on the  button. Click Export to CSV to download this data in a spreadsheet.

Report Data

Once you've applied the filters, you'll see the list of relevant data on a table. These include the Child Name, Nursery, Room, Age, Report Name, Date Completed, Status, and Completed By (meaning which user completed the report). Use the arrows at the bottom to see more records. You can also adjust the number of records show per page using the Page Size field.

Children who have no reports generated will be listed as well as children with reports. Records are displayed in order of when the most recent action was made on a report, with all children without reports generated listed after. Clicking on a Child Name will bring up their profile, while clicking on a Report Name that is already generated will take you to the specific report.
