Transitioning from other payment gateways to eypay

Transitioning from other payment gateways to eypay

From 31 August 2026, our old payment gatewaysStripe, Opayo, Worldpay, and GoCardlesswill be retired from eymanage. In its place, we've introduced eypay: a way to receive payments, manage transactions, and do reconciliation all from within eymanage. This means no third-party accounts, and no more fiddling around with bank statements. However, it also means that our customers who rely on our old payment gateways will need to make the transition before that part of the system is phased out.

What will change for the old payment gateways?

Up until 31 August 2026, a legacy version of the old payment gateways will still be available, and parents can still use them to pay nursery fees through the eyparent app. For customers who currently make use of Stripe, Opayo, Worldpay, or GoCardless, nothing about these features will change up until they become unavailable. However, customers will not be able to newly set-up these payment methods if they have not already.

What is eypay?

eypay is our new payment management software that allows parents to make payments directly through the eyworks platform without the need for a third-party account, and automates the process of reconciliation for customers. By using this in combination with eymanage, payments, invoices, and reconciliation can all be handled from within one integrated system.

How do I switch from the old payment gateways to eypay?

For you to be able to transition to using eypay, you will first need to disconnect from the old gateways. If you are using Stripe, Opayo, or Worldpay, this is fairly simple. Once you have set up your payment methods with eypay, your old gateway will be automatically disconnected. Alternatively, you can disconnect from your gateway before setting up eypay by going to Global Settings > Payments > Payment Gateways (Legacy) and clicking Disconnect.

If you currently use direct debit through GoCardless, you will need to delete the mandate for every parent before you can use eypay's direct debit collections. The best way to do this is through your GoCardless account. You can find out more about how to do this from this guide on the GoCardless support centre.

With your other payment gateways disconnected, you can set up your eypay payment account. We've written a guide on how to do this for card, TFC, and direct debit payments, which you can read here.

Will payments change for parents?

The change will be seemless for parents. Other than a slight change in the checkout screen, parents won't be required to learn any new processes for making payments.

What are bank feeds?

Bank feeds automatically import transactions from your bank or financial institution directly into eymanage, eliminating the need to import transactions manually. When a transaction is synced, it is added to the Reconcile screen without the need for you to bother with uploading bank statements, although that option is still available. Transactions are synced automatically overnight and you are also able to refresh bank feeds on demand.
