Understanding the employee scheduling graph



On the Employee Scheduling screen, graphs are generated based on each room’s scheduled employees and children. The graphs provide a visual summary of employee bookings over a day or a week.

For the sake of clarity, we don’t provide graphs for biweekly or monthly views (it is biweekly by default). To view the employee scheduling graph you must switch to either a daily or weekly view in Filters  > View By.

Expand a room view to see its graph. The graph is segmented into days in the weekly view, and time in the daily view. It consists of five coloured lines with a legend at the top for what each of them represent. The y-axis indicates number of employees. You can see the time and number by hovering over a point on a line. You can see where you currently are on the graph by referencing the Now line. 

These are the types of data you can see on the graph:

 Employees required (As per children scheduled): The number of employees needed in this room according to the number of children scheduled.
 Employees booked: The number of employees actually scheduled into this room.
 Employees required (As per children IN/OUT time): The number of employees needed in this room according to the children’s actual sign in/sign out times. 
 Employees IN (As per employee IN/OUT time): The number of employees actually signed into this room. 
 Employees required (As per average children IN/OUT time) : This data only appears on the graph if you use our AI Child Forecast feature. It uses trends in existing data to predict future child sign in/sign out times, and calculate how many employees will be needed in this room. This line only appears on future dates; use the filters to switch between days/weeks.

Data can be hidden by clicking on the corresponding colour key along the top of the graph. When a line is hidden, the key is greyed out.

To see a summary of booking data from all rooms, reference the graph in the Consolidated Room View.

Using the AI Child Forecast through Aimey

The AI Child Forecast is linked to our Ask Aimey tool, which is a paid add-on you can use to access certain AI features. The forecast uses trends in existing data on collections and drop-offs to predict future child sign in/sign out times, and calculate how many employees will be needed in this room. When this feature is turned on, it appears as a dotted  pink line on the graph.
  1. Click on the  icon in the top right of the Employee Scheduling screen.
  2. In the pop-up, select which of the past 12 weeks you want the AI to use in its calculations to forecast child in/out times therefore predict the number of employees required. Either check the boxes or click on the tabs along the top to select the weeks you want.
  3. Click Apply. 
  4. The graph will be updated with the information. The forecast line will only appear on future dates; use the filters to switch between days/weeks.
