Funding Loop Report

Funding Loop is a piece of software that helps to automate the process of collecting and filling out funding forms, and submitting them to the council. The Funding Loop Report on eymanage allows you to generate and export all the necessary information so it can be easily imported into Funding Loop.

This article is split into two sections: generating the report, and understanding which data each report field draws from.

Generating the report

You can find the report by going to  Reports in the side bar, then clicking on Standard Reports. If you have trouble finding it from the list, type the name of the report into the search bar. Once you click on it, you'll be brought to a set-up screen. 

The Select Year, Select Term, and Select Headcount Week fields allow you to set which week of sessions to use as the basis for the report. Once generated, the report will pull all the relevant information from the child's profile and scheduled sessions for the chosen headcount week, including products and services. Make sure to select a headcount week that is the best representation of your children's usual schedule (i.e. not a half-term).

Note that if a child uses equally spread invoices, only the [Day] Attended Hrs columns and [Day] Sessions columns will use information from the headcount week. The Total Funded Hours, [Day] Funded Sessions, and [Day] Charges columns, meanwhile, will use information from the sample week for that month. However, we don't generally expect data from the headcount week and sample week to differ.

Click View to generate the report.

Some of the fields in the report will only be populated if you use Invoice Layout Version 3, however, you don't need to have generated any invoices to make use of the report. Additionally, if your funding settings are set to "as per average of academic year," we are unable to provide an accurate daily breakdown of funded hours, funded sessions, or daily charges. 

Understanding the report

Once the report has been generated you'll see a table that contains all the information Funding Loop requires you to upload. To help you understand where each piece of data comes from, let's go through the key headings.


Child Id, Child First Name, Child Surname: Basic identifying details of the child from their profile.

Primary Carer First Name, Primary Carer Last Name, Primary Carer Email, Primary Carer Mobile, Primary Carer NI Number: The basic details of the Bill Paying parent from the Parental Details page of the child profile. If both parents are marked as Bill Payer, it will default to using the details of Parent/Carer 1.

Extended Hours Ref, Two Year Old Ref: The funding codes entered into the child's profile. 

Child DOB, Gender: Date of Birth and Gender of the child from their profile.

Calculation Type: What kind of funding the child receives, and whether it is Term Time Only or Stretched.

Start Date, Leave Date: The child's start and leave date as shown on their profile.

[Day] Attended Hrs: How many hours the child has been scheduled to attend the nursery for each day of the chosen week.

[Day] Funded Hrs: How many hours of funding the child uses for each day of the chosen week. This field is only populated when using Invoice Layout Version 3, and when funding settings are not set to "as per average of academic year."

Weekly Entitlement: How much funding entitlement the child receives each week.

Total Funded Hours: How many funded hours the child receives for the term the headcount week falls within.

[Day] Sessions: The session start and end times for each day of the chosen week.

[Day] Funded Sessions: What time range is covered by funding for each attended session across the chosen week. This field is only populated when using Invoice Layout Version 3, and when funding settings are not set to "as per average of academic year."

[Day] Charges: The breakdown of what parents are charged for each day of the chosen week, including session rates and products/services. This field is only populated when using Invoice Layout Version 3, and when funding settings are not set to "as per average of academic year." Note that automated products and services are not typically applied on a day-to-day basis and are therefore displayed in the table on the first day of the week. 

Address 1, Address 2, Address 3, Postcode: The address of the Bill Paying parent from the Parental Details page of the child profile. If both parents are marked as Bill Payer, it will default to using the details of Parent/Carer 1.
