The Aged Debtors Report shows the progression of debt and credit for children at the nursery over a period of four months. This gives you a better idea of which parents are consistently failing to pay their invoices. The report can be downloaded as a PDF or CSV file.
This article is split into two sections: generating the report, and understanding which data each report field draws from.
Generating the report
You can find the report by going to
Reports in the side bar, then clicking on Standard Reports. If you have trouble finding it from the list, you can use the search bar. Once you click on it, you'll be brought to a set-up screen.
In the Select Branch field, choose which nursery branches to include in the report. You can select more than one.
From the Month field, choose which month to generate the report for. This will mean you see debtors data for the month you chose, and the three preceding months.
The Ageing By field determines which invoices are included in which month. As an example, if the report is generated for September, then invoices assigned the date 01/09 will appear in the September column, whereas an invoice dated 31/08 will appear in the August column. This works much the same for the Invoice due date and Invoice created date options. The Invoice month and year option refers to which month and year the invoice was initially generated for.
The View By field determines whether the data is shown individually, or combined. View By Children is selected by default, and will display the debtors data for each child in alphabetical order and grouped by branch, with a nursery-wide summary at the bottom. If you have more than one branch selected in the Select Branch field, you'll have the option to select View By Nursery as well, which displays the cumulative debtors data for each nursery branch.
Checking Show Un-allocated Payments will add an additional column to the report that displays the total value of un-allocated payments for a child/nursery.
Checking Exclude Children with Empty Values will make it so the report does not display records for children without payment/invoice data.
Understanding the report
Once you've clicked Next to generate the report, you'll see a table containing data about deposits, debt and credit for the past four months and older, and the account balance of each child/nursery. To help you understand where each piece of data is being drawn from, let's go through the key headings.
Child Name, Child URN, Payment Terms: Details to help identify each child and their payment terms if you are in View By Children.
Branch Name: Nursery branch identification if you are in View By Nursery.
Deposit: The total amount of deposit for the child/nursery.
Month 1, Month 2, Month 3, Month 4: The amount of credit and debt for the designated month and the three months previous, with the current month being shown in the leftmost column. Credit is indicated by the value being contained with (brackets). Which invoices/payments present for which month depends on the Ageing By field when setting up the report.
Older: The sum of all credit and debt prior to the period of four months.
Balance: The combined sum of debt and credit for the four month columns and the older column.
Un-allocated Payments: This column only appears if Show Un-allocated Payments is checked when setting up the report. It contains the total sum of all un-allocated payments as seen on the Payments & Reconciliation screen. This does not include un-allocated payments on account, which can be found in the Invoices screen of the child profile.
Overall Balance: The total account balance, including the credit and debt for all months. If Show Un-allocated Payments is checked, it will also include the Un-allocated Payment data from the relevant column in its calculations.
