Register Report

The Register Report is a way of keeping track of in/out times for children and staff. This takes two forms: a sign in/out sheet that can be downloaded as a CSV or PDF, printed, and filled out manually; or a record of sign in/out times based on session schedules and the eylog register. 

This article will go over how to set up the report, and explain how to understand each of the different versions.

Generating the report

You can find the report by going to  Reports in the side bar, then clicking on Standard Reports. If you have trouble finding it from the list, you can use the search bar. Once you click on it, you'll be brought to a set-up screen. 

For the Register Report, some of the options can change significantly depending on the Day Type chosen. Because of this, let's start by summarising the options that stay largely the same across Day Types.

The Select Branch field lets you choose which nursery branch this report applies to. You may select more than one, but doing so will require you to include all rooms and all sessions types in the report.

If you've only selected one branch, you'll be able to filter which rooms appear in the report using the Select Room field. Similarly, you can use the Session Type field to select which session records to draw from, since some versions of the report will draw from the child/staff member's scheduled times. 

Select Child Order affects which order the child names appear in the sign in/out tables in the report. All four Day Types allow you to order by Alphabetical First Name, Alphabetical Last Name, DOB Ascending and DOB Descending. However, only the Daily and Daily - Multiple Rooms Day Types allow you to order by Session Arrival Time

Now, let's take a look at each of the four Day Types, and what options you are given for each.

Daily

The Daily day type creates a child and staff register record that contains a separate sign in/out table for each day of the week. Children are listed first, and then staff. It also includes headcount data at the bottom of the tables, indicating how many children there are at 10AM and 3PM.

The Start Date can only be selected for dates at the beginning of a week, and the Finish Date will automatically populate with a date seven days after that cannot be edited. 

The Format field determines which data is pulled through to the report. eymanage In/Out Times Only will create a sheet that displays the scheduled start and end times for the child and staff sessions that day, with blank fields to be filled in with the actual times and signatures. eymanage and eylog In/Out Times will also display the start and end times next to a child's name, but in addition it will auto-populate the table with sign in/out times from the eylog registers (for example, when a parent uses the parent app to sign a child in or out, or when a staff member signs in/out on the practitioner app).

There are three options that you can check to include or exclude additional information. Checking Show Products/Services on the report will include an extra row at the bottom of each daily table displaying which products/services were used that day, and how many. Checking Show Child DOB on report will create an additional column that displays the date of birth for each child. Show child first name only will exclude the child's last name from the report if you'd like that to remain private.

Weekly

The Weekly day type creates a child or staff register record that contains a week's worth of sign in/out records for a room within one table. If both children and staff are included in the report, then for each room children are listed in one table, and staff in a separate table underneath. Total Children and Total Staff are shown in a row at the bottom of their respective tables, along with coloured dots that indicate how many children are in each age range (the colour key can be references at the top of the report). For the child register table, there will be an additional row at the bottom indicating how many staff are required and scheduled for each day. 

If more than one room is selected, you will not be able to view the report on the web, but will be required to download it as a PDF or CSV. Moreover, the downloaded version of the report will often include an additional row beneath each child's name that you can fill in manually, depending on the Format chosen. 

The Start Date can only be selected for dates at the beginning of a week, and the Finish Date will automatically populate with a date seven days after that cannot be edited. 

The Show Register For field lets you decide whether to include Children & Staff data, Staff Only data, or Children Only data in the report. Selecting Staff Only will not allow you to use the AM/PM Split format.

If either the Children Only data or Children & Staff data are used in the report, then there are three options that you can check to include or exclude additional information. Show child start date will create an extra column displaying the Start Date from the child profile. Checking Show Child DOB on report will create an additional column that displays the date of birth for each child. Show child first name only will exclude the child's last name from the report if you'd like that to remain private.

The Format field can drastically alter what kind of report you're looking at. Let's go through each option one by one:
  1. -- Select -- : You're able to leave this field blank. If you do, then once you generate the report it will prompt you to download a PDF. This will contain a blank sheet with a weekly register, allowing you to fill in the fields yourself.
  2. eymanage In/Out Times: This will create a sheet that displays the start and end times for children and staff based on their scheduled sessions. If this sheet is downloaded, an extra row will be added beneath each child's name where you can fill in actual in/out times if you want.
  3. AM/PM Split: This will create a sheet that displays a tick or a cross to indicate if a child is present for AM or PM sessions. When the split between AM and PM lies is determined by a setting in Branch/Nursery Settings. This format is not compatible with staff records.
  4. Session Names: This is the same report as eymanage In/Out Times except that sessions names are display above the sign in/out times. This format is not compatible with staff records.
  5. eylog In/Out Times: Session Types cannot be selected for this format. This will create a sheet that displays the actual times the children/staff signed into the nursery based on the registers on eylog, which can be updated by parents and staff through the parent app and practitioner app respectively.
  6. eymanage vs eylog In/Out Times: This will create a sheet that displays a table including both eymanage scheduled sessions times and eylog register times side-by-side for comparison. An additional FTE column is added for both eymanage and eylog records that indicates the full-time equivalent for this child's schedule. Weekdays

The Weekdays day type creates a child or staff register record that displays the sign in/out times for a specific weekday, over a number of weeks. If both children and staff are included in the report, then for each room children are listed in one table, and staff in a separate table underneath. Total Children and Total Staff are shown in a row at the bottom of their respective tables, along with coloured dots that indicate how many children are in each age range (the colour key can be references at the top of the report). For the child register table, there will be an additional row at the bottom indicating how many staff are required and scheduled for each day. 

If more than one room is selected, you will not be able to view the report on the web, but will be required to download it as a PDF or CSV. Moreover, the downloaded version of the report will often include an additional row beneath each child's name that you can fill in manually, depending on the Format chosen. 

The Start Date can only be selected for dates at the beginning of a week, and the Finish Date will automatically populate with a date six weeks later. You may edit the Finish Date with any date up to six weeks after the Start Date

The Show Register For field lets you decide whether to include Children & Staff data, Staff Only data, or Children Only data in the report.

The Select Day field determines which weekday you want to see in the report.

Daily - Multiple Rooms

The Daily - Multiple Rooms day type creates a child and staff register report with blank fields that displays multiple rooms on one page. This report much be downloaded to be viewed. The child register sheets are shown along the top of the page, while the staff register sheet is shown along the bottom without the names filled in. Empty rooms will not be included in the report.

The Start Date can only be selected for dates at the beginning of a week, and the Finish Date will automatically populate with a date seven days after that cannot be edited. 

Checking the Show first name only option will exclude the child's last name from the report if you'd like that to remain private.
