Enabling Tax-Free Childcare on eymanage

If parents are eligible for Tax-Free Childcare (TFC), they can pay for their childcare through their TFC account. By enabling Tax-Free Childcare on eypay, this process is made easy by allowing parents to make payments through the eyparent app.

How do I enable TFC?

Tax-Free childcare must be enabled through the nursery's linked payment account by a Company Admin or Accounts Admin.
  1. Go to  > Global Settings.
  2. Click on the Payments tab.
  3. Click Manage Payments
  4. Click on your nursery's payment account to edit its payment methods. If you don't have a linked account, click Create Payment Account.
  5. On the first page, enable Tax-Free Childcare.
  6. Fill out the other necessary information, then click Next.
  7. Under Tax-Free Childcare (TFC), find your nursery's name from the list and enter its Post Code and Nursery URN into the corresponding fields. If you're in Scotland or Wales you'll need to enter your Care Inspectorate ID into the Nursery URN field, and if you're in Northern Ireland you'll need to enter your Nursery Registration Number.
  8. Click Enable next to your nursery. TFC can be Disabled from the same screen.
  9. Complete the onboarding for any other payment methods if necessary, then click Next.
  10. Click Finish Setup.

Are TFC payments automatically recorded on the system?

TFC payments are not automatically added to eymanage as paid. Instead, we show these payments as pending, until you have reconciled them to an invoice or payment on account. This is because the payment must go through the HMRC, so the system is unable to predict when it will be received.

Because of this, for customers without eypay, the best way to reconcile your TFC payments is by importing bank statements. You can learn more about payment reconciliation in this article. Customers with eypay are given access to Bank Feeds, which allows you to automatically sync TFC payments with eymanage so long as the payment was made through the eyparent app. 

Why are TFC payments failing?

There are several reasons why TFC payments might not be working on your system.
  1. The Nursery URN, Care Inspectorate ID, or Nursery Registration Number may not have been entered correctly. Make sure you copy it into the field exactly.
  2. The parent might not have enough funds in their TFC account. Note that parents can only pay using their Cleared funds
  3. If parents have TFC accounts for multiple children, they must link each one separately.
