Occupancy/FTE Report - Average


The Average Occupancy/FTE Report provides a summary of Average Full Time Equivalent (FTE) and Average Occupancy Hours % for each room across a whole week or month, with breakdowns on the occupancy hours and FTE for each child, and a comparison with the values for the year to date. This differs from the Monthly Occupancy FTE/Report by having more detail, and only focusing on the data for a single week or month.

This article is split into two sections: generating the report, and understanding the data.

Generating the report

You can find the report by going to  Reports in the side bar, then clicking on Standard Reports. If you have trouble finding it from the list, you can use the search bar. Once you click on it, you'll be brought to a set-up screen. 

The Select Branch field lets you choose which nursery branches this report applies to. You can select one or more. Clicking Filter By Tags will open up a pop-up that lets you select from a list of tags, and any nursery branches that contain at least one of these tags will be automatically selected without you having to search for each of them manually.

In the Select Type field, choose whether you want to see the data for a month or a week. Then, in the Select Month field, choose which week or month you'd like this to be.

The Show field lets you choose which columns you'd like to see in the report. If you want to see only FTE or Occupancy Hours, you can decide that here.

The Filter By field lets you select which sessions are counted in the report. For example, selecting Regular Sessions Only will make it so Extra (non-funded) sessions are not included within the FTE or Occupancy % calculation.

When you're satisfied, click Next to generate the report. Alternatively, you can Email PDF or Email CSV to send the report to your email in one of two file formats.

Understanding the data

If you've clicked Next on the set-up screen, you'll be taken to a webpage with a table displaying the Average FTE and Average Occupancy Hours % for each room in a nursery, divided between data for Core Hours, AM Hours, and PM HoursFrom this screen you can also download the report as a PDF or CSV file directly to your device.

To help you understand what each part of this table means, let's go through the headings in turn.

Nursery/Branch: The nursery branch this data belongs to.

Room: The name of the room.

Room Capacity: The maximum number of children that can be assigned to the room. Used to calculate Occupancy Hours % and FTE.

Core Hours Average Full Time Equivalent (FTE): The average FTE over the nursery's core hours for the selected week or month, compared to value for the year to date. FTE looks at the number of hours booked by each child against the room's capacity, and calculates how many full-time children this is equivalent to.

AM Average Full Time Equivalent (FTE): The average FTE over the nursery's AM hours for the selected week or month compared to the value for the year to date.

PM Average Full Time Equivalent (FTE): The average FTE over the nursery's PM hours for the selected week or month compared to the value for the year to date.

Core Hours Average Occupancy Hours %: The average Occupancy Hours % over the nursery's core hours for the selected week or month compared to the value for the year to date. Occupancy Hours % refer to the percentage of available hours that have been booked by children across a certain time period.

AM Average Occupancy Hours %: The average Occupancy Hours % over the nursery's AM hours for the selected week or month compared to the value for the year to date.

PM Average Occupancy Hours %: The average Occupancy Hours % over the nursery's PM hours for the selected week or month compared to the value for the year to date.

Monthly/Weekly: Each of the FTE/Occupancy Hours % columns are divided into two further columns. The first of these is labelled either Monthly or Weekly depending on the type of report you chose, and displays the FTE/Occupancy Hours % value for that month. Clicking on the values in this column will open a pop-up that shows you how each child has contributed to the overall average.

YTD: Each of the FTE/Occupancy Hours % columns are divided into two further columns. The second of these is labelled YTD, meaning Year to Date. This is the average FTE/Occupancy Hours % from the start of the year up until and including the selected month/week.
