- We’ve introduced a new version 3 invoice layout to meet the latest DfE funding requirements and provide a clearer breakdown of session hours, funding and consumable charges. The new version 3 applies to the calculations logic for Actuals (session) invoices, where the version 3 is applied to Equally Spread invoices, the displayed monetary value of the funding amount will be set to 0. You can select version 3 in Invoice/Payments > Invoice Layout Settings. The version 3 layout includes;
- Attended Hours
- Funded Hours (shown as a column rather than a line item)
- Chargeable Hours
- Consumable (Product/Service) charges where applicable
- Unit Price appears only when funding is allocated as per sessions
- Funding amounts no longer appear as chargeable values
Additionally, choose which fields appear on version 3 for Actual invoices, similar to the existing Equally Spread invoices toggle options in the layout settings. If you switch your invoice layout to version 3, any previously created invoices will need to be regenerated for the new format and calculations to apply. This update ensures your invoices remain compliant with the latest DfE guidance while offering greater flexibility and clarity for both nurseries and parents.
- With the new version 3 invoice layout, we’ve made an improvement to how funding discounts work when funding is allocated “As Per Funding Rate. When using version 3 invoices, the “Apply Discount to Funding Rate” option in Funding Settings will now be disabled automatically, to avoid discounts being applied both before and after funding deduction.
- Scheduled hours now exclude breaks hours. The 'Scheduled Hours' scheduled hours shown on the staff scheduling screen has been updated to provide a more accurate view of actual working hours. The scheduled hours shown next to each staff member will now display:
Scheduled Hours minus Break Hours, although the detailed breakdown still shows the full hours. When clicking the “i” information icon on the bulk staff scheduling, the breakdown popup will continue to show the full scheduled hours (before breaks). This update gives a clearer, more accurate representation of each staff member’s actual working hours at a glance, while still retaining the full detail in the breakdown view.
