What is eymanage?

eymanage is our nursery management software, designed to help streamline the admin behind running a nursery, from invoicing, to child scheduling, to tracking occupancy.

What features do I get with eymanage?

Keep a record of all your children

Store your children's essential information in one place, including their basic details, parental details, medical information, and other general notes like their parent's chosen payment method and what languages they speak.

Upload documents

Keep a record of important documents (e.g. birth certificate, registration form) on the child profile for easy access and viewing.

Create Sessions

Create sessions at the nursery that can be booked for children. Set up the session name, start and end time, and the rate that parents are charged for it. Use the Multiple Rate type to apply different rates depending on the age of the child, when the child is booked in and/or for how long.

Schedule children through the calendar

Use the sessions you create to set up a schedule for the children at the nursery. When sessions are added to a child's calendar, they are automatically included in generated invoices.

Create products and services

Set up consumables that can be assigned automatically to sessions, or added manually to invoices. Products and services can be assigned either a flat rate, or an automated rate based on which time intervals have been booked, or a custom formula.

Set up terms/funding

Create funding terms for your nursery that can be assigned to children. Enter the start and end dates, holidays, local authority funding rates, and deprivation bands for the term. Once terms are assigned to children, either individually or in bulk, you can set up their funding hours. Child funding is automatically taken into account when generating invoices.

Generate invoices

Customise invoices to your own setting's needs, then generate them automatically based on your children's scheduled sessions and funding. Send invoices to all parents at the click of a button.

Manage payments

Keep track of all your payments in one place. Set up payment gateways or direct debit to ease the process of collecting payments. Use our reconciliation feature to match your bank statements with records on the system.

Keep track of occupancy

Use the Occupancy screen to see how much space is taken up in your nursery rooms over a period of time, either as a percentage of the total room space, or as a full-time equivalent (FTE) quantity.
Schedule and manage employee rotas within the system. Use the Employee Scheduling screen to see a summary of employees and children scheduled to each room, ensuring the correct staff to child ratios are maintained throughout the day.

Calculate child:staff ratios

Assign your nursery's child:staff ratios in settings, then use the Employee Scheduling screen to see at a glance which of your rooms are in ratio.

Plan events

Add upcoming events (e.g. parent meetings, start/leave date) to the child profile and track them on the calendar.

Assign tasks

Use tasks to keep track of what actions are due to be completed for certain children. Managers can assign tasks to users on the system, which appear in that user's task list.

Communicate with parents and employees

Use Conversations to send quick communications to parents with the eyparent app. Use the Messages screen to send emails to parents and employees through an external inbox, or within the system. Customise email templates to create automated or generic messages for various purposes, including debtors letters, the child profile form, and confirmation emails.

Take advantage of our pre-made reports

Use our list of standard reports to get a quick summary of data on the system, including income forecasts, occupancy overviews, invoice records, and overdue payments.
